Export your takeoff

Get the numbers and the marked drawings out of Tally.

Getting the numbers out

  1. Open the Quantities tab and choose Export, then Export as CSV. The Export quantities dialog opens.
  2. Pick how the file should be laid out, then choose Download beside it.

There are four layouts, and each one is a different question:

Group by area gives one section per area, and is the default. Group by plan then area nests it by source drawing first, which is what you want when someone queries a particular sheet. Group by measurement gives one section per measurement. Formatted (original view) matches what you were just looking at on screen.

On a job with no areas the first two are named for what they actually do there: a project view, and grouping by plan.

CSV opens in any spreadsheet

A CSV file opens in Excel, Numbers, Google Sheets or whatever your accounts team uses. It is the format to pick when the numbers are going somewhere else to be worked on.

Getting the marked drawings out

The same Export quantities dialog has a second half for the drawings themselves.

Export marked PDF downloads the sheets with your measurements and markup on them. Customise beside Legend & title block is worth a visit first: it chooses which legend items appear, their labels and their order, and what the plan title block says. That is the difference between a PDF that explains itself to a client and one that does not.

Three other exports, and when to use them

The worksheet as a PDF. On the Worksheet tab, open Options and choose Print / export worksheet to PDF. This is the build-up, not the summary: use it when someone wants to see how you got there.

Plans on their own. On the project’s Sharing page choose Share plans, then Download a copy. You pick which plans and pages, and whether you want one PDF per plan or one PDF per group.

A link instead of a file. Same dialog, other option: a public link that anyone can open without a Tally account, and that you can revoke later. See share a project.

Where your exports are kept

Open the project, choose Files from the list down the side, and switch to the Exports tab. Every plan and PDF export is recorded there with its date.

That is how you answer “which version did I send you?” without guessing. The Files tab beside it holds the documents you attached to the job, such as specifications and scope.

Before you send anything

Check what the columns are showing. The quantities options can show or hide your cost and your margin, and the export follows what you chose. See check your quantities.
