Share a project
Two different things: letting people in, and publishing a link for someone with no account.
Two different kinds of sharing
Open a project and choose Sharing from the list down the side. The page has two halves, and they do genuinely different things.
Who has access is for people who will work on the job. They need a Tally account, they can open and change the takeoff, and the app says as much: everyone else needs a public link.
Public sharing is for someone who just has to look, such as a client or a builder. They get a read-only link to the marked drawings and need no account at all.
Let someone work on the job
- Choose Add users.
- Enter their email address and choose what they can do on this project.
- Save. They appear in the access list straight away, with an Invited marker until the first time they sign in.
Each row shows the person, their email, what they hold on this project, and whether they are an administrator or standard. The owner is marked, and cannot be removed from their own project.
Removing someone asks you to confirm, and tells you what happens: they can no longer open the project or its takeoff, and their measurements stay on the job.
Invite emails are not connected yet
Adding someone puts them on the list immediately, but Tally does not email them about it. Tell them yourself that the job is waiting.
Publish a link, or send a PDF
- Choose Share plans.
- Pick what you want. Create a public share link lets anyone with the link view the selected plans without signing in. Download a copy exports the same selection as PDF instead.
- Tick the plans and pages to include. Each one shows its page number and whether it is complete or still in progress, and there is a select all control.
- If the job uses areas, choose whether to include all of them or only some. Include plan legend pages adds the legend to what you send.
- For a download, choose One PDF per plan or One PDF per group, then export. For a link, create it and copy it.
Looking after a link you published
Once a link exists, the sharing page shows it with a Copy link button and the date it expires. Public links do not last forever, which is deliberate.
Revoke link switches it off. Anyone holding the old address gets nothing after that, so revoking and creating a new link is the way to cut off one recipient.
Creating a new link while one already exists replaces it. The previous link stops working.
Where the exports end up
Every plan and PDF export you produce is recorded on the project’s Files tab, under Exports, with its date. That is the fastest way to find the copy you sent someone last week. See export your takeoff.
